Architectural and Environmental Exterior Change Instructions

1. Complete, sign and date this form.

2. Attach digital copies of all composite drawings, pictures of the house/grounds, paint/stain color samples, product information, and/or brochures with your item and color selections circled.

3. Attach a digital copy your property plat if your modification includes an addition on the property (i.e., decks/screened porches, patios, fences, additions, walkways, in ground pools, etc.).

4. Attach a current photograph of house showing the location of the proposed project.

Architectural and Environmental Review Committee (AERC) meetings are held on the first Thursday of each month at the Woods Recreation Center, 44020 Louisa Drive and begin at 6:00 pm. Meeting dates can be found in The Villager and on the Calendar on the homepage of the website at www.ashburnvillage.org.

Submit your application and attachments to the Association Office no later than 12:00 pm the second Thursday prior to the AERC meeting. Please refer to the calendar on the Association website for meeting schedule.

You are welcome to attend the AERC meeting, but not required. Attendance is strongly advised if your project involves extensive or unusual modifications. At the meeting, one of two decisions will be made by the AER committee:

Your application/project will be approved.
Your application/project will be disapproved.

You will be notified of the AERC decision by either email or mail, whichever notification method you choose on the application form.

I Understand and Agree:

1. That nothing herein contained in this proposal shall violate provisions of Building and Zoning codes of Loudoun County, Virginia, to which the above property is subject. Further, nothing herein contained shall be construed as a waiver or modification of any said codes.

2. That no work on this request shall commence until I receive the written approval of Architectural and Environmental Review Committee; that verbal approvals are not valid; that if alterations are made prior to receiving such written approval, I may be required to return the property to its former condition at my own expense if this application is disapproved; and that I may be required to pay all legal expenses incurred by AVCA.

3. That any approval is contingent upon construction or alterations being completed in compliance with the plans as submitted and in a workmanlike manner.

4. That members of the Architectural and Environmental Review Committee (AERC) and AVCA staff are permitted to enter on my property to make routine inspections.

5. That there are architectural requirements addressed by the Declaration and a review process established by the Board of Directors.

6. That the alteration authority granted by this application will be revoked automatically if the alterations requested have not begun within 180 days of the approved date of this application and/or been completed within one year of the date of the approval.

7. That all proposed improvements must meet Loudoun County codes and that a building permits may be required. My signature indicates that I will meet any County obligations as well as my Association obligations. I understand that application for a County building permit is my responsibility.

8. That any variation from the original application must be submitted in writing to the AERC for approval prior to project commencement.

9. That I will not enter upon AVCA common ground with vehicles or equipment without express written authorization; should I receive written authorization, I will restore the area to its original condition within 48 hours and to the satisfaction of the AVCA.

10. It is my responsibility to locate and identify property pins/ markers for correct placement within property boundaries. This approval is valid for an improvement on my property only.
